Overview:

Responsible for providing administrative and clerical support within area of responsibility that may include telephone support, filing, typing, coordinating schedules, distributing correspondence, materials management, data entry, simple data analyses, and rudimentary reporting. All within established legal guidelines and maintaining confidentiality at all times.

Essential Functions:

  • Responsible for quality and continuous improvement within the job scope.

  • Responsible for all actions/responsibilities as described in company controlled documentation for this position.

  • Contributes to and supports the corporation’s quality initiatives by planning, communicating, and encouraging team and individual contributions toward the corporation’s quality improvement efforts.

  • Complete an order search in EMR for referrals that are pending.

  • Call for insurance authorization for procedures, specialist visits and admissions for patients for whom FMC is the primary provider.

  • Set up appointments for referral physicians and procedures.

  • Document in Details Box in EMR all provider information and details of the referral.

  • Document completed order request in EMR.

  • Contact patients with appointment dates and times.

  • Print out Order Request form. Mail one copy to the patient, maintain one for our files and fax one to the specialist provider.

  • Complete approved forms for individual insurances.

  • Scan authorization forms into EMR.

  • Scan all manual documents into EMR.

  • Forward all pertinent medical records/authorizations to specialists.

  • Report accurately all specialist referrals to administration as directed.

  • Document completed information in Referrals Log.

Qualifications

Education:

  • Minimum: High School diploma, G.E.D. or equivalent

  • Minimum: Special certification required for specific job and/or over 1 year of post high school education or a degree from a two-year college

  • Preferred: Associate's or Bachelor's degree

Experience:

  • Minimum: 1-3 years of experience

  • Preferred: Over 2-3 years of experience within healthcare industry

  • Over 2-5 years of experience within specific job and/or department

Knowledge, Skills, and Abilities:

  • Computer literate

  • Proficient in Microsoft Office (Excel, Access, Word and Outlook)

  • Able to type 25 wpm.

  • 10-key skills

  • Excellent verbal and written communication skills

  • Excellent organization skills

  • Customer service oriented

  • Filing skills

  • Strong analytical and problem solving skills

  • Ability to work on multiple assignments and manage time effectively

  • Knowledge of medical terminology

  • Capable of working independently as required
